This guide explains how to create and send digital rental agreements or short-term lease contracts to your guests using external tools such as Jotform or Tally.so.
In order to secure your holiday rental, you may want to have a rental contract signed. Even for a stay of a few days, this can be useful especially for direct bookings. Whilst we don't provide suggestions on the content of your rental agreement / short term lease, here we will cover the steps on how to incorporate one into Smoobu
Option 1: Using Jotform
You can use Jotform to design and collect signed rental contracts easily.
First, we will go to Jotform.com and create a free account. Once the account is created we will simply create a form and choose a template. The template we are interested in is "Online Rental Agreement PDF"
Once chosen, you can modify the text, the photos and especially the contract in question.
Link to the contract: Lease agreement
Once your contract is finished, Jotform will give you a unique address for the contract type, for example https://form.jotform.com/201944032487354
Send the contract automatically:
You can add it to a template, sent as an automatic message: Sending automated messages from Smoobu
Fill out the contract automatically for your customers:
To make life easier for your customers, you probably want to pre-fill in certain fields such as check-in/check-out, the person's name or phone number.
Just add this to the URL provided to you by Jotform:
? Checkin = [arrivalDate] & checkout = [departureDate] & nbPers = [adults] & price = [price] & firstname = [firstGuestName] & name = [guestName] & tel = [guestPhone]
So your connection would look like this:
https://form.jotform.com/201944032487354?checkin=[arrivalDate]&checkout=[departureDate]&nbPers=[adults]&price=[price]&price=[firstGuestName]&name=[guestName]&tel=[guestPhone]
You can also add &guestEmail=[guestEmail] to your URL to automatically fill in the customer's address. I don't recommend this as this will not ask your Airbnb or Booking customer to share their direct email address.
Option 2: Using Tally.so
You can also use Tally.so, a free and modern form builder that allows you to create online rental agreements and collect digital signatures easily. It works like a document, simple, intuitive, and perfect for creating guest contracts.
Steps to create your contract in Tally
-
Go to Tally.so and click Create a free form
(No signup required to start, you can create an account later to save your form.) -
Click Get started with templates
-
Open the Template Gallery and search for Freelance Contract
-
Click Use this template to start editing.
Customize your contract
Once inside the editor, you can:
-
Adapt the text to your rental agreement (replace “Contractor” and “Client” with your host/guest terms)
-
Add hyperlinks to your Terms & Conditions or House Rules
-
Include the guest’s signature field at the end of the form
It’s important that the guest reads and signs the document before completing the form.
Save and share your contract
Once your form is ready, click Share at the top and copy your unique form link.
You can now send this link manually to guests or include it in your automated message templates in Smoobu.
Additional notes
-
You need a free Tally account to save and access responses.
-
All signed forms are stored inside your Tally dashboard.
-
Smoobu has no direct integration with Tally; this is an external tool for your convenience.
-
You can access guest signatures and form data directly in Tally under the Submissions tab.
