Smoobu’s Online Check-In feature simplifies the check-in process for vacation rental owners. This tool allows you to collect additional guest data required by government agencies or other purposes, such as date of birth or nationality, even before arrival. In this guide, we will walk you through how set up your form, send it your guests and download the completed form.
2) Define what data of your guests you would like to request by ticking the boxes and indicate whether each field is required or optional. You may also differentiate here between the Main guest and Additional guests.
3) Optional: If you need to request other information, such as the means of transport in which the guests are arriving, you can add a custom field. Click on 'Add custom field' to add the title of the field.
4) At the bottom, in the Description section, specify the text or instructions that should appear on the form page. For example:
5) To Enable your Online Check-in form simple toggle on in the top right.
6) Save
7) To send your form to your guest, we suggest to create an automated message template under Experience > Communication.
💡 Tip: Include the [OnlineCheckInLink] placeholder in your message, which will auto fill with the form for specific guest. Read detailed instructions here
8) Once your guest has filled in their form, you will receive a notification
9) To view, go to the Booking Details and click Online Check-in details
10) To download the check-in form, click Save Changes PDF or Save Changes TXT
💡Tips and tricks:
To preview your guest's view, open the booking details. Scroll to Online check-in and copy the link, and paste it into a new tab. Each booking has a unique URL.
All items on the Online Check-in form are required - it is not possible to configure items as optional and required
If you need a copy of your guests' IDs, remember to check the 'Attachments' option in Step 2
If you require the signature of your guests, tick the field 'Signature'
If you would like to request acceptance of your Terms and Conditions via your Online Check-in form, you can use the 'Description' section to paste the link to a Dropbox/Google Drive file. Your guests can download it and after reading it, sign your Online Check-in as acceptance. Simply paste the link into the description for your guests to access.
The link expires once the information has been added, however a new link is created in case you need an update.
If you need additional info you need to send out the new link. Open the booking details, find the new URL link under Online check-in and send this new link to the guest to request additional information
So it sounds like Smoobu does not compile the data from the online check-in form into a list? I have to manually down the file per booking, then manually add each guest/reservation data into my mail chimp contact list so that I can market to my past customers. Is this accurate?
- The Dates fields should force a date format instead of a free text and
- The country and nationality fields should force the user to choose from a list of countries.
I compile the guest's data from the text files generated from check-in forms to send to immigration authorities and I have to manually correct these fields every time because each guest has a different way of writing dates and to name their own country or nationality. Such a simple improvement would make my work incredibly easier :)

Yes, it is. For now the Online check-in files are individual .txt files.
If you would like to export the guests' list you can do so from our Contacts section.

The language of the fields and the description of the online check in do not change depending on the language of the (template) email, correct?
