This guide will walk you through transitioning your smart locks to the new system without disrupting your active guest check-ins.
Before you start
Before modifying any configurations inside Smoobu, verify that your physical hardware environment is fully operational:
- App Control: Your smart locks must be correctly paired, online, and fully controllable within your lock brand's dedicated manufacturer mobile app.
- Accessories: If your specific lock model requires an external Wi-Fi Bridge or a proprietary companion Keypad accessory for generating temporary visitor PIN codes, confirm that these components are active and within operating range.
Steps to switch to Smoobu Smart Devices
To prevent overlapping commands and duplicate access codes, you must disconnect your legacy setup completely before authorizing the new portal.
1. Disconnect the legacy native connection
- Log into your lock vendor’s web portal or partner integration section (for example, Nuki Web Short Term Rental or Iglooconnect Integrated Services).
- Find the legacy Smoobu V2 or Direct Connection partner link.
- Click Disconnect or Deactivate.
2. Connect your account via Smoobu Smart Devices
- Log into your Smoobu dashboard.
- Navigate to Smart Devices.
- Enter the exact login credentials (email and password) that you use to access your lock manufacturer's primary mobile app.
Important: Do not enter your Smoobu account credentials here. You must use the login details for your lock manufacturer's app (e.g., your Nuki or Igloohome app login).
3. Map your devices to Smoobu properties
Because the connection backend has changed, you must link your imported lock entries to your listed rental objects:
- In the Smart Devices section, locate your imported locks.
- Link each lock entry to its corresponding Smoobu property.
4. Change settings to “Allow shared email and phone across guests”
For revisiting or regular guests it is necessary to enable “Allow shared email and phone across guests” so that email addresses for the code creation can be reused.
- Navigate to the Settings tab
- Scroll down to: Number of access methods to create
- Tick the box “Allow shared email and phone across guests”
- Click “Save Configuration"
5. Audit automated message placeholders
The final step is verifying that your automated guest templates correctly parse the new secure codes:
- Navigate to Experience > Communication > Message Templates in Smoobu.
- Review your guest check-in templates.
- Replace your old lock provider’s custom placeholder with the new unified placeholder: [seamAccessCode]
Tip: Create a manual message template that includes the [seamAccessCode] placeholder. This allows you to quickly send your guest the correct access code when needed.
Check it worked
Once authorized, give the ecosystem a few minutes to successfully complete its first background data handshake:
- Confirm that your physical devices now appear in your workspace dashboard showing an Online or Active status.
- Send a test check-in message to a test booking to ensure the new [seamAccessCode] placeholder populates correctly.
Common problems
Duplicate access codes are being generated for guests
- How to recognize this: Your guests receive two different PIN codes for their stay, or your lock log shows redundant code generation.
- The fix: This happens when the legacy integration is still active alongside the new portal. Log back into your lock manufacturer's web portal and ensure that the legacy Smoobu V2 or Direct Connection is completely disconnected.
My locks are showing as offline or missing in Smoobu
- How to recognize this: The lock is missing from the Smart Devices page or shows a red offline status.
- The fix: First, open your lock manufacturer's primary mobile app and confirm you can control the lock remotely. If the lock is online there, disconnect your account from the Smoobu Smart Devices page and reconnect it, ensuring you enter your primary lock app credentials correctly.
