As your portfolio grows, you can keep your property list tidy in two ways: add labels so you can filter and report on groups of properties, and drag your properties into the order you want them shown. You can also group a property with its sub-units so they share one calendar.
Before you start
You need both of these before you organize your list:
- At least one property added. See .
- Your main account, not an assistant account. The reorder step only saves correctly from the main account.
Label your properties
A label is a tag you attach to a property so you can filter and report by it, for example by location, building, or business unit. Your label list is shared across all your properties, so once you create a label it is available on every property.
You can filter by label in five places: the Calendar, the Bookings list, Messages, Analytics, and the Pricing rate calendar. Labels do not filter the booking engine, online check-in, or invoices.
- Go to Configuration > Properties and click the Edit (pencil) icon on a property.
- To attach a label you already have, click the Labels field and pick it from the list.
- To create a new label, click the small + icon next to the Labels field. In the popover, click the + inside it, type the label name, and click Create. The new label is now selectable.
- Click Save.
Set the order your properties appear in
The order your properties appear in is yours to control by dragging.
- Go to Configuration > Properties.
- Grab the drag handle on a property row and drag it up or down.
- Release it where you want it.
This order matters beyond the Properties page: it defines how your properties are ordered on the Calendar and on a website built with the Smoobu Website Builder.
You do not need to rename properties like "1 Apartment" or "2 Apartment" to force an order. Dragging sets it. Renaming also changes the name your guests see on their invoices, so avoid renaming a property just to order your list.
Grouped properties drag just like the rest. You can reorder a parent or its sub-units directly from the list; you do not need to ungroup them first. A sub-unit is always displayed below its parent unit, so you can change the order of sub-units within their group, but not move a sub-unit above its parent.
Group a property with its sub-units
If you rent a whole place and its individual rooms, you can group them so they cannot be double-booked. That is a separate setup. See .
Check it worked
- Your new label appears in the Labels field, and in the filters of the Calendar, the Bookings list, Messages, Analytics, and the Pricing rate calendar.
- Your properties show in the new order on the Calendar.
Common problems
The Calendar shows my properties in a different order
The new order saves from your main account only. If your Calendar order looks wrong, or an assistant sees a different order than you do, open Configuration > Properties on your main account, drag any one property out of its position and back, then release. That re-fires the order to the Calendar.
My website still shows the old order
Reordering does not republish your site on its own. Open the Website Builder and publish again to push the new order live.
