How can I create, send, and download invoices for my guests?

This guide will walk you through you to create your invoice template as well how to create an send an invoice to your. guest.

Configure invoice template settings and appearance.

The first step is to set up your invoice template in Configuration > Invoice Settings.

Ensure you have selected the New Invoice Type (toggle in the top right corner) to access the latest features, including E-invoicing.

You can easily define all parameters organized by categories:

  • General & Sender: Language, Currency, E-invoicing options, and your company details.

  • Local requirements & Tax: Fiscal regimes and tax codes specific to your region.

  • Payment & Branding: Payment terms, PayPal.me integration, Logos, and footer notes.

Once you have saved your settings, your account is ready to generate invoices. A few guide on how to set up your invoice template is here.

 

How to create and send invoices 

1) Go to a booking's Details.

Go to the Bookings tab, find the booking, and click View More.

2) Start a new Invoice

Scroll down to the Invoices section within the booking details. Click Create New to start a new invoice.

3) Edit the pre-filled items if necessary and/or insert new ones.

4) Creating an invoice

Once everything is ready, click Create to save the invoice.

5) Downloading an invoice

After creation, you can download the invoice as a PDF by clicking ⋮ followed by Download as PDF.

 

6) Sending an invoice

To send the invoice to a guest or third party, click ⋮ followed by Send Invoice

Then:

  • Add the message content (you can also create a template under Experience > Communication)

  • Confirm the recipient (the guest’s email will be filled in automatically). You may also add other recipients. 

  • Click Send Invoice

    Hi OKAS Agency,

    Thank-you for your comment, I happened to find it by chance. In the future we recommend you to please open a ticket from your Smoobu session "Help" for quick assistance from the Smoobu team. 

    Sorry however the invoice template is not possible for the Thai language, sorry. It is available for: English, French, German, Spanish, Italian, Dutch, Greek, Portuguese, Polish and Russian. You can switch the chosen language in the top right-hand corner of Smoobu, then create your invoice.

    Hi Luke,

    For now there isn't a Stripe button integrated onto the invoice, it is just for PayPal.me.

    For Stripe payments, the balance collection options are either to manually charge the remaining, or send a Stripe link to pay the balance. 

    I agree the suggestion to have a Stripe button is indeed useful however we don't currently plan to implement it. That said, never say never ;)
