When a guest asks about a stay by phone, email, or at the door, you can save the request as an offer and send a personal quotation link the guest accepts with one click. The offer keeps the dates, guest details, and price ready without blocking your calendar.
Before you start
Have these in place before you create the offer:
- A price for the offer's dates. The property needs a base price in Pricing for the whole date range. Without one, the guest cannot accept the offer.
- The guest's email address, and guest messaging set up so you can send the quotation from Smoobu: .
An offer does not block your calendar
An offer reserves nothing. The dates stay open, and other guests can still book them on any of your channels until your guest accepts. That keeps your calendar sellable while you negotiate. It also means an offer is not a hold: another guest could book the dates before yours decides. To take dates off the market instead, enter a booking or a blocked period: .
An offer also has no expiry date of its own. It stays open until one of three things ends it: the dates get booked by another guest, the offer is converted into a booking (by your guest accepting, or by you converting it yourself), or the offered dates pass.
Steps
- Click Enter booking at the top of Smoobu. The booking form opens.
- Fill in the guest's name, the property, the arrival and departure dates, and the number of adults. Add the guest's email address so you can send the quotation.
- Do not click Save. Click the small arrow next to Save instead.
- Click Create a new offer/quotation (Does not block the calendar). The offer is saved.
- Send the guest the quotation link: use a message template that contains the
[offerurl]placeholder, and Smoobu fills in this offer's personal link when the message goes out. The template catalog includes a ready-made Quotation for Stay template. How to create and send templates: .
Check it worked
Open Bookings, click Filters, enable the Offer status, and set a date range that covers the offer's dates: the offer appears in the list. The Activity Feed on your Home page also shows the new offer with the guest's name and arrival date.
What happens when the guest accepts
The quotation link opens a booking page with the stay and the price, and a button to accept the offer. The guest does not need an account; anyone with the link can accept it. When the guest accepts, the offer becomes a confirmed booking: the status changes from Offer to Booked, the booking keeps the same booking ID, and its channel shows as Website. From there you manage it like any other booking: .
Common problems
The quotation page says the property is not available
The most common cause is a missing price. When the property has no base price for the requested dates, the quotation page still loads, but it shows the stay as unavailable instead of the accept button, and you are not notified that your guest is stuck. Enter a price for the dates in Pricing, then open the quotation link yourself and check that the accept button appears. Also glance at your Calendar: an offer does not hold its dates, so they may have been booked in the meantime.
You can't find an offer in the Bookings list
Two filter settings hide offers. The Bookings list shows Booked entries by default, so enable Offer under Filters > Status first. Then set the date range generously: the list only shows offers whose dates fall inside it, and the date filter currently reaches no further into the future than your last confirmed booking, so an offer beyond that point stays out of its reach. The Activity Feed on your Home page lists every offer when it is created, whatever its dates.
There is no offer option in the mobile app
The Enter booking form in the Smoobu mobile apps only saves regular bookings; it has no option to save an offer. Create your offers in Smoobu in a browser instead.

Hi there,
I have 2 questions:
1.
In the bookings overview don't see the '3 horizontal stripes' on the right side where you can click on 'send message'.
2.
I've made a test order now to myself via 'messages' in the lefthand side menu bar, but when clicking the link for the booking proposal, there was no information (date / price / etc) in there.
Thanks to advise.
Can the guest pay direct based on the quotation offer I have made - you tell me how to accept the booking, and see the calendar blocked out - but how to accept payment?
