Once you have connected a registration partner, every booking gets a button on its detail page that opens a registration form. You fill it in once per booking, and the partner files it with the right municipal office.
Which button you see depends on which partner you connected, and the two are named differently. If you have AVS, look for Registration form update. If you have Feratel MeldeClient, look for Update registration form. If you have connected both, both buttons appear on every booking, so check the name before you click.
Before you start
You need a registration partner connected, and that is a one-time setup:
- AVS covers Germany. See How do I connect AVS to Smoobu?.
- Feratel MeldeClient covers Austria, Liechtenstein, Switzerland and Germany. See How do I connect Feratel MeldeClient to Smoobu?.
Both cover Germany, so a German host can use either. Which one you connect depends on which your local office works with, so ask them before you set one up.
If no button appears on your bookings at all, the partner is not connected yet, or not connected for that property. Both connection articles cover that.
With AVS
Open the booking you want to register and click Registration form update on its detail page.
A form opens, usually already filled in with what you know about the guest. For the main guest, these fields have to be filled in:
- First and last name
- Postal code, city and country
- Nationality
- Date of birth
The remaining fields can stay empty. If anything is missing, type it in by hand, then click Save.
AVS then produces the Meldeschein as a PDF. Download it from Smoobu to print for your guest to sign, or to send by email.
The date of birth matters for more than the form: your municipality uses it to work out the Kurtaxe, including any reduced or exempt rate for children. The calculation and the transfer to AVS happen on their own once you have created the Meldeschein, so there is nothing further for you to submit.
With Feratel MeldeClient
Open the booking detail and click Update registration form. The form opens pre-filled with the guest's data: name, address, nationality, identity document, date of birth, arrival and planned departure. The fields come from the guest's online check-in if they filled it in; if not, they are empty and you fill them in by hand. Click Submit and the form is filed with Feratel, and through Feratel with the right municipal office.
If you need to change a departure date or finalise a registration after you submit it, that happens on the Feratel side, in your local tourist office's webclient, not in Smoobu. Smoobu does not push those later edits to Feratel.
One thing does not carry over: the signature a guest gives on Smoobu's online check-in form is not transferred to the Feratel registration. To meet Feratel's signature requirement you either print the registration and collect a signature on paper at check-in, or use Feratel's own signature flow if your tourist office has enabled it.
Where the data comes from
If a guest fills in Smoobu's online check-in before arrival, their details flow into the registration form for you, so most fields are already filled when you open it. Setting that up is covered in Set up online check-in for your guests. Online check-in only collects the data; the registration form is what files it.
Check it worked
- Open a booking and confirm the button appears on its detail page.
- Click it and confirm the form opens with the guest's booking details already in place.
- Fill in the main guest's fields and save or submit.
- With AVS, confirm the Meldeschein PDF is available to download from the booking. With Feratel, confirm the registration appears in your Feratel webclient.
Common problems
No button appears on any of my bookings
The partner is not connected, or not connected for that property. For AVS, check that your Firma (your AVS company ID, always a number) is stored and that the property has both its Spa Management ID and Object ID: see How do I connect AVS to Smoobu?. Some fields are empty even though the guest filled in online check-in (Feratel)
A few fields, often postal code, country and nationality, sometimes arrive empty in the Feratel form. Fill the missing fields in before you submit. If it keeps happening across many bookings, contact Smoobu Support, as it may be a field-mapping gap between online check-in and Feratel. If you see the same with AVS, contact Support.
Every guest reports the same error opening their online check-in link
This has been seen on accounts with a registration partner connected, so it is worth knowing about here. If every guest hits the same error rather than one, the link is not the problem and there is nothing to fix on the booking. Contact Smoobu Support with your account details.
My region uses a form that does not match (Feratel)
Some Austrian and German regions use their own Meldeschein format with extra fields. Feratel usually maps onto the closest match, and any field it cannot fill you complete in the form each time. Contact your tourist office if certain fields consistently cannot be filled.
